Customer- and channel-specific prices in the ERP

The Challenge

A major client manages its product range in an ERP system but does not sell at a single uniform price. Individual customers have their own terms, and each sales channel, such as direct sales, retail partners or online, has yet others. Until now, these prices were maintained in lists outside the ERP and transferred by hand.

With a product range in the six-figure range, that is no longer manageable. Price changes from a supplier or for a season regularly affect more than 100,000 items at once. The ERP needed a price catalog that processes these volumes in a single run instead of item by item.

Our Solution

We built the price catalog into the client's existing ERP as a module. Master data, customers and orders stay where they are, and pricing draws on the catalog.

Price Catalogs per Customer and Sales Channel

A catalog applies to a customer in the ERP, to a sales channel or to a combination of both. When pricing an order, the ERP checks which catalog applies to the given customer and channel and takes the item price from it. If there is no entry, the next level applies, down to the standard price.

Bulk Import

New price lists arrive as files, usually as an Excel or CSV export from the supplier or from sales planning. The import maps the columns, checks item numbers against the master data, detects duplicates and writes the prices to the selected catalog. More than 100,000 items are processed in a single pass, with a log of created, changed and rejected rows.

Bulk Update

Existing prices can be changed in a single run: by percentage or by a fixed amount, for an entire catalog, an item group or a selection. The run shows in advance how many items are affected and can be reviewed before anything is written.

Traceability

Every import and every update is recorded with the time, the user and the source file. Earlier price versions remain available, so past orders and invoices can be explained.
